Submissions

How do I submit?
  1. Create/log in to Dryfta: Submit via Dryfta.
  2. Select the closest track and add 3–5 keywords.
  3. Enter title, authors/affiliations, conflicts (if any).
  4. Provide a 500–750 word abstract or upload a 2-page anonymised PDF.
  5. Choose preferred format (oral/poster/demo) and presenter availability, then submit.

You can edit until the deadline shown in Dryfta.

What makes a strong abstract?
  • State the objective and why it matters.
  • Describe methods/models clearly (parameters, data, rigs).
  • Report results with numbers, not just trends.
  • Discuss uncertainty/limits and validation/benchmarks.
  • Explain the practical significance (design, safety, scale-up).
Double-blind rules?
  • Remove names, affiliations, funding numbers, and identifiable acknowledgements.
  • Cite your own prior work in third person.
  • Check PDF metadata for author info before upload.
Can I submit to multiple tracks?

Submit once and choose the best-fit track; cross-theme work is welcome. The Programme Committee may reassign to balance sessions.

What file types are allowed?

Text abstract (in-form) or PDF (2 pages, fonts embedded). Keep PDFs anonymised.

Registration

What's included in the fee?

All scientific sessions, coffee & lunches, the welcome reception, the conference dinner, and digital proceedings.

Do presenters have to register?

Yes. At least one author must register and present on site ("one-presenter rule").

Can I transfer my ticket to a colleague?

Usually yes-name changes are possible up to the operational cut-off. See the registration terms or contact us.

Where do I get an invoice/VAT receipt?

Invoices are generated during checkout in Dryfta and emailed with your confirmation. For changes, use the contact form.


Travel & Venue

Best way to reach Delft?

Rail from Amsterdam Schiphol to Delft: about 45 minutes with frequent trains. Rotterdam The Hague Airport is ~30 minutes by public transport.

Where is the venue?

TU Delft Aula Conference Centre (on campus). The setting is compact and walkable with adjacent parallel rooms and large foyers.

Is there a conference flight discount?

Air France–KLM event fare is available for SoftSoils2026. Use ID GME50787AF within the authorised travel period. Details are on the travel page.

Accessibility & Green Pledge

Is the venue accessible?

Yes. The building provides step-free access and accessible routes. Tell us any specific needs during registration so we can assist.

What is the Green Pledge?

We follow an avoid → reduce → substitute → compensate approach: rail-first guidance, low-waste operations, plant-forward catering, and one tree per delegate via All for Trees.

Can I bring my own cup/bottle?

Yes, please. Water refill points and cup-return options are provided on site.


Presenting

Oral presentation length and setup?

15 minutes + 5 minutes Q&A. Rooms include screen, computer, and standard HDMI/USB-C connectivity. Test your slides in the break before your session.

Poster format?

A0 portrait. We provide boards and fasteners. Poster spotlights may be scheduled-check the programme.

Can I run a demo?

Yes-submit a short demo proposal (150–300 words) outlining space/power needs. Demos run in the Aula foyer during breaks and poster sessions.

Slide/poster guidelines?
  • Use large fonts and high-contrast colours; avoid dense blocks of text.
  • Show methods and numbers; include uncertainty where relevant.
  • Disclose funding/conflicts on the final slide/poster corner.

Visas & Letters

How do I request an invitation letter?

After acceptance and paid registration, request a letter via the registration portal. Include full name, passport number, affiliation, and travel dates.

When should I apply for a visa?

As early as your local authority recommends (often several weeks). Start the process once you receive your acceptance and payment confirmation.

Sponsorship & Invoices

How can we sponsor or exhibit?

Here you can select a package. Exhibition spaces are in the Aula foyer alongside posters and coffee breaks.

Do you provide invoices and vendor forms?

Yes. We issue invoices and can complete standard vendor forms upon request. For VAT specifics, please contact us by email: blueboxevents@tudelft.nl

Policies

Code of conduct?

SoftSoils is a respectful, inclusive meeting. Breaches may lead to removal from the event.

Recording & photography?

Some sessions may be recorded with presenter consent. Photography for documentation/communications may take place-badge stickers are available if you prefer not to be photographed.

Data & reproducibility expectations?

Describe methods clearly, report uncertainty where feasible, and link datasets/code when possible.
